Pricing & Payment
Can I try a free demo version first?+
We don't offer free trial units, but we're happy to walk you through the machine and the operator dashboard in a live online demo, or arrange for you to see a working unit at one of our existing locations. Contact us at
info@uopenbox.com to book a time.
Does the monthly software/platform fee apply only if I lease the machine, or also if I buy it outright?+
It applies to both. The monthly software/platform fee ($50 CAD per machine) covers the operator dashboard, remote monitoring, AI vision updates, built-in 4G data, and ongoing support β everything the machine needs to run day to day β whether you own the machine or lease it.
If I don't want to source my own first batch of inventory, can UOpenBox do it for me, and how is that billed?+
Sourcing is handled by you. Most operators stock their machine from Costco, Amazon Business, or a local wholesaler, and you keep full control of what you sell and at what price. During onboarding we'll share what sells well in similar locations so your first order is an informed one.
Beyond the purchase/lease price, the software fee, and the per-sale transaction fee, is there anything else I should budget for?+
Only a few things, and none of them are hidden. If you lease, delivery is billed separately (we'll recommend a partner carrier and give you an estimate before shipping); if you buy outright, delivery is included. If you lease, a deposit equal to six months of lease payments is collected at signing β it isn't an extra cost, it prepays months 31β36 of your term, so after your 30th monthly payment there's nothing more to pay. The machine only needs a standard 120V outlet β if your location doesn't have one where you want the machine, any electrician work is your responsibility. 4G data is already included in the software fee.
Is there a discount if I lease or buy more than one machine across multiple locations?+
There's no volume discount on the machines themselves. However, if several machines ship together, the freight savings are passed on to you as a discount on your order.
Do you offer financing, or is a credit check required if I want to buy the machine outright?+
We don't run credit checks for a purchase or a lease, and we don't offer third-party financing β if you'd rather not pay upfront, our leasing program is the monthly-payment option. What we do need is the address where the machine will be placed; if you later want to move it to a different location, please let us know first so we can approve the new site.
How often do I actually get paid out β daily, weekly, direct deposit to my business account?+
Sales are paid out by direct deposit to your business bank account on a monthly schedule at no extra cost. If you prefer weekly or daily payouts, we can set that up for a $1 account-processing fee per payout, deducted from the payout amount.
Is the $0.10 + 4% transaction fee deducted automatically before payout, or billed to me separately?+
It's deducted automatically. Each payout you receive is net of the $0.10 + 4% per-transaction fee β there's no separate invoice to pay or reconcile.
Can I connect my own existing merchant/payment processor instead of the built-in checkout?+
Yes. If you already have a merchant account you'd like to keep using, contact us before your order and we'll walk you through the setup.
If I own the machine outright but close seasonally (e.g. a patio restaurant in winter), can I pause the monthly software fee?+
The software fee can't be paused, because the platform, 4G connection, and remote monitoring keep running whether or not the machine is stocked. The same applies to lease payments, which continue as normal during a seasonal closure. Many seasonal operators simply relocate the machine indoors for the off-season β just let us know the new address first.
Realistically, how much daily foot traffic do I need for the machine to break even?+
As a rule of thumb, a location with at least 50 people passing by each day is the minimum we'd recommend. For a more precise picture, use the
payback calculator on our Shop page β you can enter your own foot traffic, conversion rate, average ticket, and margin and see the projected payback period for buying, or the monthly net profit for leasing.
Leasing Program
Is hardware support and dashboard access included in the lease, or are those extra costs?+
Both are included. Your monthly lease payment plus the software/platform fee covers hardware support, dashboard access, remote monitoring, and 4G connectivity β there's nothing extra to add.
As a restaurant with seasonal swings (e.g. a summer patio rush), is my monthly lease payment flexible based on sales, or a fixed amount?+
The lease payment is a fixed monthly amount and doesn't change with your sales volume. That works in your favour during busy periods β everything you sell above your fixed costs is yours.
Is the deposit calculated the same way in the US as in Canada?+
Yes. In both countries the deposit equals six months of lease payments (hardware rental plus the software fee), and in both countries it works the same way: it prepays the final six months of your 36-month term (months 31β36), so once you've made 30 monthly payments there's nothing further to pay. Because pricing is set separately in each currency, the amounts differ: CAD $1,500 for an S400 in Canada and USD $1,140 in the US.
What happens at the end of the 36-month lease β do I own the machine, renew, or send it back?+
Before your term ends we'll reach out to go over your options. You can buy the machine outright and keep it, or return it to us. Ownership doesn't transfer automatically β it stays with UOpenBox until you choose to buy out.
If I lease an S400 now and want to upgrade to the S600 later, can my remaining lease term roll over?+
No β a lease is tied to the specific machine, so the remaining term can't be transferred to a different model. If you'd like to add an S600 to your location later, it would be a separate order.
If I sell my gym/restaurant, can the lease be transferred to the new owner?+
Yes, with our written consent. Contact us before the sale closes and we'll transfer the lease agreement to the new owner so the machine can keep running without interruption.
Is a personal guarantee or business credit check required to qualify for the lease?+
No credit check and no personal guarantee. To qualify we simply need the address where the machine will be placed, and the machine must stay at that location unless we've approved a move.
Does the lease cover free repair or replacement if the machine is damaged by a power surge or vandalism?+
The lease covers faults that occur under normal use. Damage from external causes β power surges, vandalism, accidents, water, or misuse β isn't covered, and repairs in those cases are the operator's responsibility. We recommend a surge protector and, for public locations, checking that your business insurance covers the equipment.
For a 24-hour gym where the machine gets used far more than a typical retail spot, does that affect wear-and-tear responsibility under the lease?+
No. The machine is built for continuous commercial use, and a 24-hour location is considered normal use under the lease β heavy traffic doesn't change your responsibility or your coverage.
Can I switch from leasing to owning partway through the contract if I change my mind?+
Yes β many operators decide partway through that they'd rather own the machine. Contact us and we'll confirm the buyout terms for your specific lease.
S600 (Coming Soon)
What's the difference between the S600 and the S400?+
The S600 is the larger of the two: 19.4 cu ft of capacity and roughly 384 items across 6 shelves, compared with 14.5 cu ft on the S400. It also adds a heated anti-fog glass door and a dual-mode cabinet that can run refrigerated or at ambient temperature. Both models share the same AI vision checkout, WiFi + 4G connectivity, payment options, dashboard, and software fee. Full
spec tables for both are on our Shop page.
As a high-volume gym, is the S600 meaningfully faster at checkout than the S400?+
No β the AI recognition speed and accuracy are identical across all our models. The reason to choose the S600 is capacity: more items on the shelf between restocks, not a faster checkout.
Do I need to pay anything to reserve an S600, or can I just get on the list?+
No payment is needed. Joining the
waitlist is free and doesn't commit you to anything.
Will my transaction fees or deposit formula be different for the S600 compared to the S400?+
No. The $0.10 + 4% transaction fee and the six-month lease deposit formula are the same for every model. Because the S600's monthly lease payment is higher, the deposit amount itself will be higher, but it's calculated the same way.
Will current S400 customers get priority access or a loyalty discount when the S600 launches?+
There's no loyalty discount, but existing customers on the waitlist will be among the first we notify when S600 units arrive.
Is the S600's larger 19.4 cu ft capacity meant for high-traffic spots like malls, or is it overkill for a single gym/restaurant?+
It depends less on the type of venue and more on how often you want to restock. A busy single gym or office with limited restocking staff often benefits from the extra capacity just as much as a mall location does. If you restock frequently anyway, the S400 is usually the more economical choice.
Does the heated glass door mean I can sell hot food or hot beverages, which the S400 can't do?+
No. The heated door is an anti-fog feature that keeps the glass clear so customers can always see the products. The S600 can run refrigerated or at ambient temperature (with the compressor off) β so it suits cold drinks and snacks as well as shelf-stable goods β but neither model heats food or beverages.
What's the expected launch date, and will waitlist members be contacted in signup order?+
We expect the S600 to be available around the end of 2026. Waitlist members are notified in the order they signed up.
Will the S600 need different power/electrical setup than the S400?+
No. Like the S400, the S600 plugs into a standard 120V outlet. No special wiring is needed.
With built-in WiFi + 4G, do I still need to provide my own WiFi at my location, or does it work independently?+
It works independently over 4G β data is included in your software fee, so no WiFi is required. In a few locations (basements, interior rooms in large buildings) the cellular signal can be weak; if that happens we have two fixes: an antenna extension, or connecting the machine to your WiFi network.
Can I join the waitlist now and decide later whether to buy or lease?+
Yes. The waitlist doesn't ask you to choose β you'll decide between buying and leasing when your unit is ready.
Delivery & Setup
What should I do if I don't know how to set it up?+
There's very little to set up β the machine is plug-and-play. Once it's in position and plugged into a standard outlet, we schedule a remote training session with you and your staff that covers the operator dashboard, adding products to the shelves, pricing, and day-to-day operation. You'll also receive our training manual, and our team is available for support for the life of the machine.
Who pays for the installation fee?+
There is no installation fee β no installer is needed. You plug the machine in, and we handle the software setup and training remotely at no charge.
Who pays for the machine's delivery/shipping cost?+
If you buy the machine outright, delivery is included in the price. If you lease, shipping is billed separately β we'll recommend a partner carrier and give you the estimated cost before anything ships.
Do I need an electrician or any special wiring done before the machine arrives?+
No. The machine runs on a standard 120V outlet. We recommend a dedicated outlet within reach of where the machine will stand so you don't need an extension cord. If your preferred spot has no outlet, arranging one with an electrician is your responsibility.
How long from signing until I'm actually selling?+
We'll contact you within one business day of your order to confirm the delivery plan. Delivery typically takes about 10 business days from there, depending on stock and your address. Once the machine is plugged in and your products are loaded, you can be selling the same day.
What are the exact dimensions and clearance I need, including space behind the unit for ventilation?+
The full dimensions and weight for each model are listed in the
spec tables on our Shop page. For ventilation, leave at least 10 cm (4 in) of clearance behind the unit. Please also measure the path in β doorways, hallways, elevators and any stairs β as the machine is a full-size cooler.
Can the machine go outdoors β like a restaurant patio or a mall breezeway β or does it have to be fully indoors?+
We don't recommend outdoor placement. The machine is not waterproof, so it needs to be indoors or in a fully covered, semi-indoor space protected from rain and direct sun. A covered patio or breezeway can work if the unit is sheltered on all sides from the weather; an open patio cannot.
Does someone confirm my doorways/hallways are wide enough before the machine ships?+
Yes. When we contact you to confirm your delivery plan, we'll go through your access route with you β doorways, hallways, elevators and stairs. Note that standard delivery is to the ground-floor entrance of your building; carrying the machine up stairs or to upper floors is not included, so let us know in advance if that's your situation.
For a location inside a mall or office building, do you coordinate delivery with property management/loading docks, or is that on me?+
Booking the loading dock or delivery window with your property management is on you, since they'll deal with you as the tenant. We'll give you the carrier details, the delivery date, and anything the building needs (dimensions, weight, pallet size) so that conversation is easy.
What happens if the machine arrives damaged from shipping?+
Inspect the machine when it arrives and photograph any damage before signing off with the carrier. Notify us within 48 hours with the photos and we'll arrange a repair or replacement at no cost to you.
If I'm opening several locations at once, can deliveries be scheduled together in the same week?+
Yes. Let us know when you order and we'll coordinate the deliveries. Shipping several machines together also reduces freight cost, and we pass that saving on to you.
Can delivery be expedited if I need the machine ready for a grand opening or specific launch date?+
Yes, subject to stock and your location. Tell us your target date when you order and we'll do our best to plan the delivery around it.
Running the Machine
How do I bulk-update my product prices?+
Prices are managed from your operator dashboard, where you can update products individually or several at once, and changes take effect on the machine right away. We walk you through this during onboarding, and the steps are in your training manual.
How do I run a product promotion?+
Promotions are set up in your operator dashboard β for example a temporary price on a product for a set date range. Our team can help you set up your first one, and you can ask us any time for ideas that have worked at similar locations.
How do I register a new product when adding it to the machine?+
New products are added through your operator dashboard: enter the product details and price, and the AI vision system learns to recognise it. New items are typically ready to sell within about two hours. Your training covers this step by step.
What should I do if the product I want to list isn't in the product catalog?+
Just add it. You're not limited to a preset catalog β any packaged product can be registered, and our team will help if you need a hand with the first few.
Can I stock refrigerated items like protein shakes and cold drinks, or is the machine limited to shelf-stable snacks?+
Yes. The machine is a refrigerated smart cooler, so cold drinks, protein shakes, yogurt, fresh salads, sandwiches and other chilled items are all fair game alongside shelf-stable snacks. Refrigerated categories are typically the best sellers in gyms and offices.
Do I set my own retail prices for what I sell?+
Yes. You set every price and keep the revenue. Our only charge on sales is the per-transaction fee.
If I operate several locations, can I check how each machine is performing without visiting in person?+
Yes. All of your machines appear in the same operator dashboard, so you can compare sales, stock levels and status across locations from your phone or computer.
How do I view customer feedback?+
Customer feedback and questions that reach us through the machine or our support channels are passed along to you, and your dashboard's sales data shows you what's selling and what isn't at each location. If you'd like a summary of feedback for a particular machine, just ask us.
Can I brand the outside of the machine with my gym or restaurant's logo and colors?+
Yes. You can apply your own vinyl wrap or decals, or we can arrange the branding for you. If you're leasing and later return the machine, it needs to come back in its original condition, so the branding would need to be removed.
Can I sell my own house-made or packaged products, not just third-party snack brands?+
Yes β as long as the product is packaged, you can register it and sell it. Many operators sell their own branded items right alongside national brands. Local food-safety rules for packaged foods still apply, just as they would for your counter.
Can customers pay with my gym's membership app, a building access fob, or a mall gift card instead of a credit card?+
Not at this time. Customers pay by tapping a credit or debit card or by mobile wallet (Apple Pay, Google Pay). Third-party membership apps, access fobs and gift cards aren't supported.
If the AI vision system misreads what someone took and overcharges them, how does that get resolved β does the refund come out of my revenue?+
Misreads are rare β the recognition system is highly accurate β but when a customer reports one, our team helps process the refund. Who bears the cost is decided case by case depending on what caused the error, so you're not automatically out of pocket.
Can I stock age-restricted items like beer or wine, and how would age verification work?+
Not yet. Age verification is currently being integrated into the platform; once it's live and the necessary licences are in place for your location, age-restricted products will become an option. We'll announce it when it's ready.
Will I get an alert when a product is running low so I know when to restock?+
Yes. The dashboard tracks stock levels and alerts you when products run low, and you'll also be notified of any abnormal status on the machine.
Can I give a staff member limited dashboard access just for restocking, without full account access?+
Yes. Let us know and we'll set up a restricted login for your staff that covers restocking and product management without access to your financial settings.
Support & Service
If my machine has a mechanical issue, does someone come on-site to fix it, or does it need to be shipped somewhere?+
We start with remote diagnostics β most issues can be resolved remotely or by shipping you a replacement part. If hands-on work is needed, we arrange for a technician to come to you; the machine doesn't need to be shipped anywhere.
Is support different for a US-based operator versus a Canada-based operator?+
No. Operators in both countries get the same support team, response times and coverage.
As an owner who isn't on-site every day, how would I know if there's a problem before it hurts sales?+
The machine reports its status to us and to your dashboard around the clock. You're automatically notified of any abnormal condition β offline, power loss, temperature out of range, low stock β so you can act before it affects sales, often before anyone on-site notices.
What's the fastest way to reach the team if something urgent comes up?+
Do you offer an extended warranty or paid service plan once the standard 3-year coverage ends?+
Yes. Contact us as your coverage approaches its end and we'll put together an extended service plan for your machine.
If the machine loses power or goes offline, will I be notified automatically by text or email?+
Yes. Any abnormal status, including loss of power or connectivity, triggers an automatic notification to you, and our team sees it as well.
For a 24-hour gym with no overnight staff, what happens if the machine malfunctions while unattended?+
The machine is monitored remotely 24/7, so a malfunction overnight is flagged automatically to you and to us. Many issues can be handled remotely; anything that needs hands-on attention is scheduled for the next business day.
Is there a loaner or replacement machine while mine is being repaired, so I'm not losing sales?+
We don't provide loaner machines, but repairs are prioritised to keep your downtime as short as possible, and most issues are resolved remotely or with a shipped part rather than a lengthy repair.
Do you provide a training guide or video for my staff on basic restocking and troubleshooting?+
Yes. Every operator receives our training manual, and we run a remote training session at setup. If you bring on new staff later, we're happy to run a refresher β support is included for the life of the machine.
In a mall, office building, or apartment complex with shared property management, who's authorized to contact support about the machine β me or them?+
You, as the operator and account holder. Property management can always contact you, and you can reach us β this keeps instructions coming from the person who knows the account.
What's the typical turnaround time between reporting an issue and getting it fixed?+
We respond within one business day, and most issues are resolved within 3β5 business days. Problems that can be fixed remotely are usually sorted the same day.
